Entering Internal Transactions

You can enter intragroup or intercompany transactions (internal transactions) either by units (to an organization unit and its counter unit) using intragroup transactions input template, or by using the account drill-down function on a basic input template. When entering internal batches, Counter Unit cannot be the same as Input Unit.

Calculations like Automatic Counter Entries (ACE) are added even if Unit and Counter Unit are the same.

Entering Internal Transactions by Units

Internal transactions can be entered by units to an organization unit and its counter unit with which the internal transaction has taken place. Internal transactions can be entered to normal or internal accounts.

Using default internal transactions input template:

  1. In the Unit Code column, the ID of the unit entering the transaction (the selected unit) is automatically added, and the name of the unit is added to the Unit Name column.

  2. In the Counter Unit column, define the ID of the counter unit of the internal transaction. You can either enter the counter unit ID directly in the cell or select it from the selection list. Note that the unit selection list contains only those units that are connected to the data type selected or predefined for the input template. Unit rights apply to the list, if counter unit restriction functionality is in use in the environment. [v24.10 and later:] When the value of the CODIM00RIGHTS parameter is false, the unit rights are checked according to DIM00 (Structure1), with the exception of the counter unit, which requires no write rights.     Unit and Counter Unit must have different values. You get a validation message if the Unit and Counter Unit of the template series's internal account have the same value. However, please note that calculations such as Automatic Counter Entries (ACE) are added even if Unit and Counter Unit are the same. In addition, on the sheets with calculated rows no validation message appears even if the rows included the same combination of data.

  3. In the Account Code column, add the account to which the transaction is entered in the accounting for the unit entering the transaction. You can either enter the account ID directly in the cell or select it from the selection list. Note that the account selection list only contains those input accounts that are connected to the data type selected or predefined for the input template.

  4. In the Position column, type the position number for the entry. The position number is used to separate data entered for the same account and unit to different rows in the input template. If you do not add the number, the application automatically adds number 1 when the input template is saved.

  5. In the period column(s), enter the internal transaction amount(s) in the accounting unit currency. Transactions entered as positive figures will increase the balance of the account (by default). For example, a positive transaction added to a turnover account will increase the turnover.

  6. In the Comment column, you can type a comment for the row.

Admin user may create environment-specific templates for the input, thus the column may vary.

The data is converted into the selected currency using the currency rates defined for the currency table of the data type used for the input/report data. If the currency rate is missing from one or more periods, a warning message is shown. The warning does not prevent saving. To view the message, click the Warnings link under the ribbon. If there is an Input Type column in the template, it displays the automatic and calculated entries updated after the last save. The data in this column cannot be modified. If there is no Input Type column in the template, only manual entries are displayed.

Entering Internal Transactions Using Account Drill-Down

If enabled in the input template settings, you can enter data to type 2 document series using account drill-down on a basic input sheet. The account generation function is only available for input accounts, including sum accounts used as input accounts.

Using default drill-down input template:

  1. Double-click on a data cell (alternative: click on the cell and click Drill Down). An empty data row is added below the row. If there are existing entries, the empty row is added below them. The account code and name are copied from the row from which the account generation was opened.

  2. Double-click on the counter unit ID cell and select a unit from the selection list or type the unit ID directly in the cell. The unit list contains all units connected to the data type. Unit rights apply to the list, if counter unit restriction functionality is in use in the environment.

    Unit and Counter Unit must have different values. You get a validation message if the Unit and Counter Unit of the template series's internal account have the same value.   3. You can add a position number for the entry. If you leave the position number empty, 1 is automatically added when saving. The template allows you to change the position number later, but note that the existing row is then not updated, instead new identical row (except for the position) is created.

  4. Enter the sums in the data cells.

  5. If a comment column exists, you can enter a comment for the row.

If an input type column is included in the template, it displays the automatic and calculated entries updated after the last save. The data in this column cannot be modified. If an input type is not included in the template, only manual entries are displayed.

To select how the account drill-down rows are shown, select an option from the Drill-down Style drop-down list:

  • Spaces: Account numbers are indented with spaces before them.

  • Dashes: Account numbers are indented with dashes before them.

  • None: Account numbers are not indented.
