Entering Basic Unit Data

Input unit level data, for example reported Profit and Loss and Balance sheet data, is entered using basic input templates.

Enter figures in the input template data columns in the unit currency (usually the accounting currency of the unit). When the input template is saved, the figures are automatically updated in the system database and currency rate conversions are performed.

The entered data is converted to the group currency. Depending on the currency conversion type selected for the account, income statement, balance sheet, or opening balance currency rates are used for the conversion. In addition, the entered figures are converted to cumulative or periodical values (depending on the form of the entered figures) during saving.

Comparison columns may be included in the input template. Note that these columns are only used for reference. Data in them cannot be modified and is not saved when the input template is saved.

Note that data cells are locked for internal accounts in type 1 document series input templates if there is a dependency between type 1 (for example, 10000) and type 2 (for example, 20000) document series. The template may include an input column for type 2, in which case data can be entered using the account drill-down function. The drill-down area displays the input counter unit for creating the internal elimination entry on the correct consolidation level.

Generated Input Templates

Using a generated template, you can enter data for combinations of organization units, dimensions, and accounts to one input template. This type of template may be useful, for example, in sales budgeting, in which you enter the sales or gross margin for several units and dimensions (for example, a product). Using a normal input template, you would have to enter data for one unit and product combination at a time.

Using a generated template, you can enter data for several unit and product combinations at the same time, using just one template. Generating can be done by rows or columns. The following figure is an example of a row generation template.

Note the following:

  • Which dimensions are generated depends on the input template definitions. However, if you select a dimension in Basic Options that is not included in the input template definitions, the options you selected will be applied.

  • Units are generated on the template according to the hierarchy of the year defined in the definition file. If the year is not defined in the definition file, units are generated according to the selected year. Data is retrieved according to the hierarchy of the column's year.

  • Only those units are generated that are connected to the data type defined in the definition file. If the data type is not defined in the definition file, all units are generated.

  • All data types are generated on the template regardless of your data type user rights. However, you cannot view data of data types for which you do not have at least "read" rights. To be able to enter data for a data type, you need "read and write" rights for it.

  • During data retrieval, your user rights are checked according to the hierarchy of the column's year. Data is generated for those dimension units for which you have "read and write" rights (also when the template contains both input and report columns). If the generated area includes data from several years, data is generated for those units for which you have "read and write" rights for the active year.

  • Depending on the template settings, units (or combinations of units from various dimensions) to which no data has been entered are either shown or hidden in the generated template.

  • When accounts are generated to an input type template, calculated accounts are not included. When generating accounts to a report type template, calculated accounts are included.
