Managing Units

Location: Units (task ID: DimensionMntYearly)

From version 23.07 on, changes made to administrator's tables such as user, user roles, user rights, and units, are saved automatically to the system's database. To view these changes, you can create a custom report in the system.

Several users cannot edit the data in the Units view at the same time. If another user is using the function when you open it, a warning appears at the top of the view. Click the Warning link to view the details of who is currently using the function. When a screen is reserved by another user, you can view the data on the screen, but you cannot add new units and the Save button does not activate when you edit the data.

  1. Select the dimension, year and hierarchy to which you want to add units.

    A new unit can be added in any hierarchy. In other hierarchies it will be added under Units not in use, but you can move it to the correct location in each hierarchy (for more information, see Arranging Units In Hierarchy).

  2. In the hierarchy tree, click where you want to add the new unit. A new unit is created as a subunit to the selected unit, but you can change its location in the unit tree (see Arranging Units In Hierarchy).

  3. Click Add Unit. The Add Unit pop-up window opens.

  4. By default, the application suggests the next available ID number based on the unit that was selected when you added the new unit. Note that the ID cannot be modified after the unit has been added to the unit tree.

  5. Select the Consolidation method for the unit:

    • Full consolidation: The data of the unit is fully consolidated to the consolidated income and balance sheet of the group. If consolidation percentage of the unit is less than 100, non-controlling interest might be recorded.

    • Proportional consolidation: For jointly controlled units, only the portion corresponding to the group's ownership percentage is included in the consolidated reports for each account.

  6. Select a Currency for the unit. Note that you cannot change the currency after saving the unit.

  7. If you are reporting ESG data, select Measurement system (SI/US) for dim00:

    When using this option, you must select metric system as the currency conversion option for an account and define metric conversion rule.

    • International system of units, SI (metric system): The default value for all units. The value applies to all reporting hierarchies in dim00. The setting can be changed yearly.

    • US Customary System: Select this option when converting values in US customary system to metric system.

  8. Click Save. The new unit is added to the unit tree.

  9. Add or modify the unit properties, including the unit name in all languages, data types, unit extra field values and periodical settings. For more information, see the list of notes below.

  10. To save the changes, click .

Whether a unit is used as an input unit or a consolidation unit is determined on the data type level.

When you modify dimension units, the changes affect the unit in all hierarchies, but only in the selected year. For example, if you change the name of a unit, you must do it separately for every year.

The default name of the unit used for non-allocated data is BWNonAllocatedItem, but you can change the name.

Notes and restrictions

Data types

  • The data types connected to the selected dimension (see Modifying Dimensions) are available for the unit. Data type connections are year and dimension specific.

  • When you connect a unit to a data type, the application automatically connects all parent units of the unit to the same data type. However, the sub-units of a consolidation unit are not automatically connected when a consolidation unit is connected to a data type.

  • When a data type connection is removed from a consolidation unit, the connection is also removed from its sub-units. However, the data type connections are not removed from a consolidation unit even if all its sub-units are moved under another consolidation unit.

  • If data has been entered to a unit or its sub-unit(s), its data type connection cannot be removed.

  • [v24.04 and later:] When making data type selections, all hierarchies are checked according to the selected year in case the parent level or consolidation level of an input unit already includes data. If it does include data, you receive a validation message and you must move the data from the parent level to an input level. [v24.04 and latercontent ends]

Periodical Settings

The periodical settings are used for automatic calculations, for example, minority entries based on a group ownership percentage that may change monthly.

The periodical fields are available only for dimension 0, and they are not mandatory (all units do not need to have values for them). The following periodical fields are included in the system by default:

  • Tax percentage (value: 0-100)

  • Consolidation percentage (value: 0-100)

  • Counter unit for consolidation entries

To add values to the fields for one period at a time, select a period from the Period drop-down list.

To add values for several periods at the same time, click . In the Edit Periodical Values dialogue box, you can add values to all periodical fields for all periods of the selected year. If you enter invalid values, is shown at the beginning of the row. To view the errors, move your cursor over the icon.

You can copy the values from the Edit Periodical Values dialogue box and paste them, for example, to an Excel file, or the other way around.

Yearly Settings

For XBRL reporting and data mapping two yearly fields have been added to the system by default:

  • BW_OFFICIALID = Official entity identifier

  • BW_OFFICIALIDSCHEMEURI = Entity identifier numbering scheme URI

Additional yearly fields are created in Dimensions > Unit Extra Fields. For more information, see Modifying Dimensions.

  • Unit extra fields are customer-specific.

  • Do not use a semicolon in text type free entry fields as this might cause problems when filtering data by extra fields for input and report templates.

Deleting units

The deleted unit is deleted from all years and hierarchies. In the hierarchy tree, you can only delete units one by one, but in the Units not in use section, you can select several units and delete them at the same time. You cannot delete a unit from the system in the following cases:

  • The unit contains data in any year. In this case, the unit is moved to the Units not in use section instead.

  • The unit is the root unit in some year and hierarchy.

  • The unit has sub-units in the selected year.

  • The BWNonAllocatedItem unit cannot be deleted.
