Modifying Account Properties
Location: Accounts (task ID: AccountsMnt)
You can modify the account properties with some restrictions (see the following sections).
If you want to use the import function to import accounts from a file, the following account property descriptions also apply to the corresponding xml definitions or csv columns. For more information about importing accounts, see Importing Account Data.
Changes made to accounts are visible to the end user not until the cache has been updated.

Type |
Select one of the options in drop down control:
Normal account (in import file: 'Normal'): Normal accounts accumulate the sum of their sub-accounts. Data can be entered to a normal account only if the account does not have a sub-account connected to the data type in question.
Hierarchy (in import file: the accounts own udid is set as a parent udid): This type is selectable only when adding account, after adding the hierarchy level accounts setting is "Normal".
Rate difference account (in import file: 'RateDifference'): An automatic rate difference entry is generated to this account. Note that if the account type setting is 'RateDifference', the currency conversion setting must be 'Income' or 'Balance' and the 'Internal' setting must be 'false'.
Calculated account (in import file: 'Calculated'): Input data of other account(s) is generated to this account. Note that with this account type, the 'Internal' setting must be 'false'.
The following restrictions apply:
Sub-accounts cannot be moved under an account if it contains data for any data type to which the new sub-account(s) are connected.
Normal accounts which have sub-accounts cannot be changed into a rate difference account or calculated account
If an account which contains automatic counter entry data is changed into a rate difference account, the automatic counter entry definition(s) that include the account become invalid. Existing data cannot be modified or deleted, but will be replaced with automatic rate difference data when data is saved for the source account for the same combination.
If an account is changed into a calculated account, manually entered and automatically calculated (from ACE definitions) data will be removed when the input template is saved.

Name |
Name for the account in all languages used in the system. |
DC code (in import file: 'DKcode') |
Select whether the account is a credit or debit account. The possible values are 'Debit' (default) and 'Credit'. When adding an account, the same setting is set as is selected for the parent account. The appearance of debit and credit figures on input and report templates can be changed by using the show_dk parameters. For more information on the show_dk parameters, refer to Clausion Input and Report Template Parameters. |
Account group |
Account group used for the reconciliation of intragroup transactions. Reconciliation accounts are added to account groups in the Account Groups view. |

Sign handling |
The setting (income, balance, other) is relevant for the interpretation of the show_dk parameters. Different show_dk parameters are used for income accounts (<show_dk_profit>), balance accounts (<show_dk_balance>), and other accounts (<show_dk_other>). In addition, the Not defined option (in import file: 'NotDefined') can be used. The parameter settings are defined in the XML definition file of the input or report template. Currency conversion |
No conversion (in import file: 'NoConversion'): No currency conversion is done. This option cannot be selected for rate difference accounts.
Income statement (in import file: 'Income'): Income statement currency rates and conversion method apply to account conversion. The conversion method is cumulative or periodical depending on the type of the currency table connected to the data type. When the currency table is periodical, the conversion is based on monthly change even if the account is not cumulative. Similarly, conversion is always run from the closing (cumulated) amount when a cumulative currency table is used.
Balance sheet (in import file: 'Balance'): Balance sheet currency rates and conversion method apply to account conversion. The conversion method is always cumulative, that is, the data is always converted based on the closing balance.

Opening balance (in import file: 'OpeningBalance'): The account or component sum is converted using the opening balance currency rates. Otherwise the currency conversion principles are the same as for accounts that use the Balance sheet conversion option.

Metric system (in import file: 'MetricSystem'): Data is saved and converted with different metric measurement units. When you select this option, you can add a conversion rule to the Metric Conversion table under Automatic Entries. When Metric System Conversion is selected to an account, Internal option under other options is automatically disabled. [v24.06 and latercontent ends]

Other options |
Scaling: The account is scalable in input and report templates (figures are divided by a scaling factor defined in the report or input template settings). In the import file the possible values are 'true' and 'false' (default).
Cumulative: The periodical values for the account are summed up in cumulative input and report templates from the beginning of a financial year. In import file the possible values are 'true' and 'false' (default).

Internal: When there is a dependency between type 1 (for example, 10000) and type 2 (for example, 20000) document series, entering data directly to a type 1 document series is not possible for an internal account. Automatic entries are generated to type 1 document series for internal accounts when data is entered to type 2 document series. When no dependency has been defined between the document series, no automatic entries are generated for type 1 document series.
Not in use for calculated accounts and rate difference accounts.
In the import file, the possible values are 'true' and 'false'.

Data types |
Select the data type(s) for the account. In the import file, the possible values are 'true' and 'false' (default) for each data type in the system, and the data type code is given as attribute to the element or column header.
Note the following:
When you connect an account to a data type, the application automatically connects all its parent accounts to the same data type. However, the sub-accounts of a parent account are not automatically connected when a parent account is connected to a data type.
When a data type connection is removed from a parent account, the connection is removed also from its sub-accounts. However, the data type connection is not removed from a parent account even if all its sub-accounts are moved under another sum account.
If data has been entered to an account, its data type connection cannot be removed.

Additional properties for import file
Parent account: Parent account(s) for the account. Possible values: Code of a normal account. If the value is missing, the account is added to the Accounts not in use area. If the accounts own code is given as parent, the account is a hierarchy and the top level of this hierarchy.
Position: Defines the position of the account under the sum account. Must be a numerical value.
